Spark Languages is hereafter known as “Spark”, “we,” or “us”). This Privacy Policy explains what information of yours or your child’s (or of your school or company you represent) that will be collected by Spark on any of the named websites or by other communication means and how this information will be used, and how you can control the collection, correction and/or deletion of information.

We will only collect, process or retain any personal information about you and/or your school/students and staff when it is necessary for us to do so in order to provide the contracted service and only where we have your consent or where we have any other legal basis to do so. How do we use your personal information

We use the information that your provide us to communicate about, coordinate the set up of and to operate the contracted services (school tours, language academy) and to respond to your questions and concerns throughout. All with the aim of providing the best service possible throughout whilst conforming to: Spanish Statutory Law 15/1999 and the General Data Protection Regulation (GDPR). For what purposes are we using this information?

  • To coordinate and set up the agreed contracted services.
  • Administrative purposes to process the enrollment to and purchase of the contracted programme and services.
  • In case of emergency, or need, to contact responsibles (trip leaders, parents, emergency contacts).
  • Safe development of the contracted programme (school tours, adult course or summer camp, language acadmy).
  • To coordinate additional contracted services when relevant, for example flights, excursions or activities.
  • To be aware of health and diet information in order to safely carry out the contracted services, be those activities, meals or any service where health or diet information is required to guarantee safety.

What is the legal basis we rely on for this information?

Consent

In specific situations, we collect and process your data with your consent. For example, if you tick a box to receive marketing or similar information from us.

Contractual obligations

Once your have contracted our services, we need your personal data of children, students and staff to comply with our contractual obligations. For example to process a booking or enquiry and the services those involve.

Legitimate interest

In specific situations, we require your data to pursue our legitimate interests in a way which might reasonably be expected as part of running our business and which does not materially impact your rights, freedom or interests.

¿To what organizations do we transmit your information?

Only when required to deliver the contracted service, and/or to guarantee safety, will we pass your information to collaborating service providers. These service providers can include: catering suppliers, official exam providers (Trinity/Cambridge), restaurants, activity providers, travel providers, bus suppliers. On agreeing to the terms and conditions on contracting the agreed services you understand this sharing of data may be required in the said cases. Spark will only share data to allow for the carrying out of a contracted service and under no circumstances will Spark share your data for commercial usage.

General Contact

Correspondence by email is processed by gmail for business and all data is secured by google, although controlled by Spark. For more information see Gmail Privacy Page. We also use an help desk application called Zendesk. Although the information is processed by Zendesk it is controlled by Spark. For more information see Zendesk privacy page. Contact forms

By filling in the contact form with their Data, the User authorizes our Websites (indicated above) to use these details to reply to requests for information, quotes or any other kind of request as indicated by the form’s header. For example: Personal Data collected: Email address, First name, Last name.

Our contact forms are operated by formstack where your personal information will be sent and stored in private access secured by formstack and available only to Spark. On rare occasions we may also use google forms for collating some data, refer to google privacy policy above.

Application forms

Whenever a user completes an application form to work with us, we will collect all of the information on that form in order to consider them for a position to work with us. The information contained on the application forms can include name, date of birth, email, address, phone numbers, gender, photograph, nationality, country and city of residence, next of kin details, previous work history, and curriculum vitae.

Contract Accepting Forms

Candidates that are offered a position will be asked to upload certain information. Apart from the information mentioned in the “Application Forms” section we may also request and retain:

  • The information contained in your criminal background check or any information which is derived from third parties to which this documentation is submitted;
  • Copies of your passport, driving licence and/or other identity documents;
  • Dietary and Medical information which can be passed onto our catering services;
  • Copies of your travel to/from camp.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Analytics + Monitoring

Google Analytics is a web analysis service provided by Google Inc. (“Google”). Google utilizes the Data collected to track and examine the use of this Website, to prepare reports on its activities and share them with other Google services. Google may use the Data collected to contextualize and personalize the ads of its own advertising network. This website is hosted on wordpress.com which not only hosts the website, but also provides functionality and web analysis. Newsletters

Spark uses Mailchimp to manage a database of email contacts for the purposes of promotional or communicative emails. These services may also collect data concerning the date and time when the message was viewed by the User, as well as when the User interacted with it, such as by clicking on links included in the message. All users can unsubscribe for these emails by clicking unsubscribe on any email or emailing info@sparklanguages.com. Also all subscription to Spark’s newsletter is controlled by doubt opt in operated by mailchimp. Social Media Widgets

Our Site includes social media features, such as the Facebook Like button and other widgets, that run on our Site. These features may collect your IP address and which page you are visiting on our Site, and may set a cookie to enable the feature to function properly. Social media features and widgets are either hosted by a third party or hosted directly on our Site. Your interactions with these features are governed by the privacy policy of the organization providing it.

Database

With our English Language academy we use a database service Aqadem to register student data like levels, contact numbers, email etc… Also bank data for doing domicilaciones. Aqadem full privacy policy can be viewedat link provided.

Testimonials:

We display personal testimonials of satisfied customers on our Site in addition to other endorsements. With your consent, given on a feedback form, we may post your testimonial along with your name. If you wish to update or delete your testimonial, you can contact us at info@sparklanguages.com .

Sharing of Data with Sister Company TECS/ECI

On occasions we may have need to share data with our sister companies TECS and el centro inglés. This is likely only with our English Academy or summer camp. Possible reasons could be when a student is changing from one centre to another or when a shared event is taking place and health and safety information is needed to be shared for safe carrying out of the activity. As sister companies we have a sharing data agreement signed. Information would never be passed from one sister company to another for commercial purposes unless the client request for this to be done, for example with summer camp. Storage and Processing

All date in the aforementioned areas is secured in password secured areas with SSL encryption and available only to trained Spark staff members. Access to Your Information

An individual who seeks access or wishes to correct, amend or delete inaccurate data should direct their query to info@sparklanguages.com. If we receive a request under this provision, we will acknowledge it within seventy-two (72) business hours and handle it promptly.

We will retain personal data we process on behalf of our customers for as long as needed to provide our services. Spark will retain this personal information as necessary to comply with our legal obligations, resolve disputes and enforce our agreements.

How We Protect Your Information.

We have taken all reasonable steps and have in place appropriate security measures to protect your information, including password protection, SSL, staff training and regular monitoring of all our data protection procedures. We adhere to all legals requirements in concern to data protection. Children’s Privacy.

Protecting the privacy of young children is especially important. For that reason, Spark does not knowingly collect or solicit personal information directly from anyone under the age of 14. In the event that we learn that we have collected personal information from a child under age 14, we will delete that information as quickly as possible.
